In light of the Dec. 6 tragedy, the due date for the December PCard cycle (11/26/23 - 12/25/23) has been extended to Tuesday, Feb. 6. All transactions for June 26, 2023, through Jan. 25, 2024, should be verified and approved on or before Feb. 6.
Reminders
- Before making purchases related to the Dec. 6 incident, speak with your supervisor to understand the appropriate approval process for your area.
- It is crucial that we maintain detailed and accurate records of expenditures related to the Dec. 6 incident to ensure transparency, accountability, and potential reimbursement from external sources. Activity codes were set up to track these expenses:
- AC02320 51³Ô¹ÏºÚÁÏ 12-6-2023 Emergency Incident Response (for response not recovery)
- Includes evacuation, search and rescue, medical assistance, and providing essentials such as food, water, and shelter right after the disaster and until the immediate threat is over.
- AC02328 Recovery for 51³Ô¹ÏºÚÁÏ 12-6-2023 Emergency Incident (for recovery not response)
- Involves repairing or rebuilding infrastructure, restoring services, economic recovery, and psychological support for affected communities after the emergency phase is under control.
- AC02320 51³Ô¹ÏºÚÁÏ 12-6-2023 Emergency Incident Response (for response not recovery)
- If you've already reconciled PCard transactions without including the AC code, but believe your transaction falls under one of the categories, please initiate an accounting adjustment and add the relevant AC code.
- When shipping items to a location other than 51³Ô¹ÏºÚÁÏ, supervisory approval must be attached to the PCard transaction.
