What We Do
- Administer the registration, bar-code tagging, and tracking of 51³Ô¹ÏºÚÁÏ equipment in three categories:
- Equipment having an original acquisition cost of $5,000 or greater, which is designated in 51³Ô¹ÏºÚÁÏ's Workday system as a tracked, capitalized asset, and;
- All sensitive equipment items, regardless of cost, which are designated in 51³Ô¹ÏºÚÁÏ's Workday system as tracked, expensed items. Sensitive equipment items include computers (including desktops, laptops, servers, smartphones), motorized vehicles, drones, credit card processors and firearms.
- Special items designated by departments (in their discretion) during purchasing (via Workday tag) as trackable.
- Oversee the administration of the annual physical inventory by Departments/Supervisory Organizations (SUP-ORGs).
- Dispose of all retiring university property via Property Control's subsidiary unit, the 51³Ô¹ÏºÚÁÏ Surplus Center, whether by repurposing, sale or otherwise.
Working With Departments
As departments procure equipment via 51³Ô¹ÏºÚÁÏ Purchasing Department procedures, Property Control registers such equipment that is deemed "trackable" within Workday, then works with departments to track the movement and status of such assets using the AssetWorks platform (which integrates with Workday).
The dean or department head of each 51³Ô¹ÏºÚÁÏ Supervisory Organization shall name a staff member to:
- Coordinate with Property Control for administrative processes related to 51³Ô¹ÏºÚÁÏ property tracking and disposal
- Conduct the annual physical inventory in accordance with Property Control procedure
- Be trained to use the AssetWorks asset management platform administered by Property Control
- Maintain up-to-date equipment information/movement therein
